We’re on the lookout for a highly motivated Front of House with a can-do attitude. The ideal candidate will be an all-star at the below:

You can:

-Coordinate front of house, including answering phones, transferring calls and accepting deliveries
-Maintain office efficiency through the management of complex calendars and schedules for multiple executives across both studios in Santa Monica and Melbourne
-Anticipate needs and provide high-level administrative support to multiple executives including maintenance of organised filing systems and departmental records.
-Warmly greet all guests, messengers, and clients upon arrival and present them to their host
-Answer and direct all incoming calls in a professional manner
-Prepare for meetings by arranging food, beverages, and materials
-Ensure appropriate, timely, and clear communications between clients and Luma employees
-Demonstrate exemplary follow up and through, as well as constant sense of urgency on all assigned projects
-Coordinate domestic and international travel arrangements for executives and external visitors to Luma
-Perform general administrative duties that include record and distribute all incoming mail, schedule couriers for deliveries, coordinate office snacks and assist with restocking kitchen, order food for lunch meetings, and organize all birthday celebrations in the office

Experience / Skills

You have:

-Degree or qualifications in project management, HR, hospitality or related fields desirable but not essential
-Previous experience in a role similar to this position a plus
-Highly motivated and positive
-Ability to manage time, work well under pressure, prioritize daily activities, and maintain a sharp focus while managing competing priorities
-Be extremely well-organized and thorough, with meticulous attention to detail
-High level of proficiency working in all Microsoft and Google applications
-Excellent written and verbal communications skills
-Ability to work well independently and on a team
-Proactive in gaining knowledge in the workplace
-Always responds promptly in a warm, professional and courteous manner
-Entrepreneurial commitment to achieving company goals
-Creativity to brainstorm ideas for Culture events including company events and innovative ways to improve the space
